A State Government Department is seeking a professional and highly organised Business Support Officer to join their team on a temporary basis. This role provides essential reception, fleet administration, and general administrative support to ensure the smooth operation of business services and internal operations.
You will work within a busy, KPI-driven environment, supporting internal teams, suppliers, and stakeholders through accurate administration, strong customer service, and effective coordination. About the Role
Key responsibilities include:
• Providing office reception coverage, including managing incoming and outgoing mail, packages, and phone calls
• Undertaking fleet administration tasks, including vehicle bookings using UMS
• Checking logbooks and fuel invoices and investigating discrepancies
• Entering and maintaining odometer readings and tracking vehicle applications
• Maintaining paper and electronic records using Content Manager
• Performing spare computer updates and supporting basic IT-related administrative tasks
• Undertaking travel bookings, including flights, accommodation, charters, ferries, and car hire
• Monitoring and managing internal and external correspondence to ensure timely responses
• Working within a fast-paced, KPI-driven environment
• Building and maintaining effective relationships with internal teams, suppliers, and stakeholders
• Preparing and maintaining accurate documentation, reports, and records using systems such as Ellipse and Microsoft Office
• Demonstrating initiative by handling enquiries for senior staff in their absence
• Developing, maintaining, and improving procedures, manuals, and registers
• Performing ad-hoc and general administrative duties as required
• Demonstrating professionalism and positively contributing to team culture and customer satisfaction
About You
You are a proactive and detail-focused administration professional who thrives in a busy environment and delivers high-quality support across multiple functions.
You will bring:
• Demonstrated strong customer service skills
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
• Proven experience in accounts payable, including invoice coding using charts of accounts and job numbers
• Strong analytical and problem-solving skills
• High attention to detail and accuracy
• Excellent time management skills with the ability to prioritise and multitask
• Strong written and verbal communication skills
• Ability to work effectively both independently and as part of a team
• Experience with fleet administration or vehicle booking systems (highly regarded)
